The cycle of managing data begins with understanding what your data is, how it has been classified and where it will be located. The information management life cycle is iterative and will keep looping back to understanding your data. For example, as data changes and becomes aggregated it may need to be reclassified.

Your area uses corporate and/or research information on a daily basis and so these best practices apply to you.

Confidential Data

Action: Classify the information that your unit is responsible for

  • Treatment - Print: Deans/ Budget Unit Heads should designate a Data Steward to this responsibility
  • Treatment - Electronic: Deans/ Budget Unit Heads should designate a Data Steward to this responsibility.

Action: Review data classifications

  • Treatment - Print: Review every three years or more frequently, if required by respective Data Steward.
  • Treatment - Electronic: Review annually.

Sensitive Data

Action: Classify the information that your unit is responsible for

  • Treatment - Print: Deans/ Budget Unit Heads should designate a Data Steward to this responsibility
  • Treatment - Electronic: Deans/ Budget Unit Heads should designate a Data Steward to this responsibility.

Action: Review data classifications

  • Treatment - Print: Review as needed or as determined by respective Data Steward or designate.  Special attention should be paid to data taht, when aggregated, requires a change in classification.
  • Treatment - Electronic: Review every 3 years.  Special attention should be paid to data that, when aggregated requires a change in classification.

Public Data

Action: Classify the information that your unit is responsible for

  • Treatment - Print: No special requirement
  • Treatment - Electronic: No special requirement

Action: Review data classifications
